Overview

We are seeking a detail-oriented Administrative Coordinator to manage our back-office operations. This role is ideal for someone with bookkeeping experience who thrives in a fast-paced startup environment and can work independently with minimal supervision.

You'll be responsible for accounts receivable and payable, payroll coordination, vendor management, and general administrative support. This is a foundational role that keeps our operations running smoothly while our team focuses on building the product.

Key Responsibilities

  • Process accounts receivable and accounts payable accurately and on schedule.
  • Coordinate payroll processing and ensure timely payments to team members and contractors.
  • Manage vendor relationships, including correspondence, invoice tracking, and payment scheduling.
  • Maintain organized financial records and documentation.
  • Handle general administrative tasks as needed (scheduling, correspondence, document management).
  • Reconcile accounts and flag discrepancies for review.
  • Assist with basic financial reporting and expense tracking.
  • Coordinate with external accountants during tax season and audits as needed.

Requirements

  • 2+ years of experience in bookkeeping, accounting, or financial administration.
  • Proficiency with accounting software (QuickBooks, Xero, or similar).
  • Experience with payroll platforms (Gusto, Rippling, Deel, or similar).
  • Strong attention to detail and organizational skills.
  • Ability to work independently and manage multiple priorities.
  • Excellent written communication skills.
  • Reliable internet connection and home office setup for remote work.
  • Based in a timezone compatible with US Pacific hours (some overlap required).

Nice to Have

  • Experience working with startups or small tech companies.
  • Familiarity with contractor management and international payments.
  • Experience with project management tools (ClickUp, Notion, or similar).
  • Basic understanding of SaaS business models and subscription billing.
  • Bookkeeping certification or accounting degree.
